Terms & Conditions

For Table Bookings and Food Collection
Provided by Pip’s Railway Carriage (“we”, “us”, “our”)

These Terms and Conditions apply to all table bookings and food pre-orders for collection from Pip’s Railway Carriage. They do not affect your statutory rights under UK consumer law.


1. TABLE BOOKING TERMS

1.1 Booking Confirmation

Your reservation is confirmed only once you receive a confirmation email containing your booking reference. Please contact us if you do not receive confirmation.

Reservations are for dining unless otherwise stated.

1.2 Card Details & Payment Authorisation

To secure your reservation, valid card details may be required. Card details are held securely and tokenised by our payment provider (Stripe).

By completing a reservation, you authorise Pip’s Railway Carriage to charge the card provided for any of the following, if applicable:
(a) late cancellation fees;
(b) reductions in party size;
(c) failure to attend (no-show);
(d) outstanding balances for food and drink consumed during your visit that remain unpaid at the time of departure; and
(e) incidental charges reasonably incurred during your visit.

1.3 Settlement of the Bill

Guests are expected to settle their bill in full before leaving the premises. If for any reason the bill remains outstanding, we may settle the balance using the card provided at booking and issue a receipt by email.

1.4 Minimum Spend Policy

Pip’s Railway Carriage operates a seated dining service and does not take advance bookings for coffee and cake only. A proportion of tables are held for walk-in coffee and cake guests on a first-come, first-served basis.

Where a reserved table is used in a manner that materially limits our ability to serve dining guests during the reserved period, a minimum spend of £20 per booked guest may apply. Where applicable, this amount may be charged to the card provided and a receipt issued by email.

1.5 Cancellations & Amendments

Cancellations, amendments, and reductions in party size may be subject to charges as set out at the point of booking. Promotional or event-specific terms take precedence where applicable.

1.6 Arrival Time & Late Arrivals

If you are running late, please notify us by text or telephone. While we will always try to hold your table, if we have not heard from you within 15 minutes of your booking time the table may be released.

Table duration runs from the original reservation time, not the arrival time.

1.7 Table Duration

All reservations are subject to a fixed table duration based on menu choice and party size. Your confirmation email will state your finish time. Tables may be reallocated if you do not arrive within the grace period.

1.8 Group Bookings

For groups of more than seven guests, a pre-order or chef’s selection menu is required. Final guest numbers and menu selections must be confirmed two working days (Tuesday–Saturday) prior to the reservation. Changes after this time will be fully chargeable.

1.9 General

While we will always aim to seat you at your preferred table, this may not always be possible. Please notify us of any mobility requirements in advance.

We are primarily an outdoor venue. In the event of lightning, guests may be asked to return to their vehicles for safety.


2. PRE-ORDERED FOOD (COLLECTION)

2.1 Securing Your Pre-Order

For certain items, valid card details may be required to secure your order. Card details are held securely by Stripe and are not stored by us. No payment will be taken unless stated otherwise. Payment will be taken upon collection.

2.2 Collection

Orders must be collected at the agreed date and time. Responsibility for timely collection rests with the customer. If an order is not collected and no valid cancellation has been made in accordance with these terms, we may charge the card provided for the full value of the order.

2.3 Cancellations & Amendments

Pre-orders may be cancelled or amended up to 24 hours before the scheduled collection time. Cancellations or amendments after this time may not be accepted and the full value may be charged.

2.4 Made-to-Order Items

Certain items are prepared specifically to order. Once preparation has commenced, such items cannot be cancelled, amended, or refunded.

2.5 Food Safety

Food is intended for consumption on the day of collection. We cannot accept responsibility for food consumed after collection, stored incorrectly, or consumed beyond recommended timeframes. Food taken away from our premises is consumed at the customer’s own risk.

2.6 Allergens & Dietary Information

All food is prepared in an environment that handles allergenic ingredients. Allergen information for the 14 legally recognised allergens is available for all dishes. Customers are responsible for reviewing allergen information and notifying us of any dietary requirements at the time of ordering. While reasonable precautions are taken, we cannot guarantee the absence of allergens.

2.7 Limitation of Liability

Our liability in relation to pre-ordered food is limited to the value of the order placed. Nothing in these terms limits or excludes liability for death or personal injury caused by our negligence, fraud, or any matter that cannot be excluded under UK law.


3. PRIVACY & DATA

Card details are processed in accordance with PCI-DSS requirements via Stripe. Personal data is processed in accordance with our Privacy Policy.


4. GOVERNING LAW

These Terms and Conditions are governed by the laws of England and Wales. The courts of England and Wales shall have exclusive jurisdiction.
